Job Vacancy: Group Administrative Receptionist

Scope of duties

The position provides administrative support to Island Oil Holdings Group as required.  Group Administrative Receptionist is the first point of contact for company employees and visitors.  Responsibilities include the handling of people and goods arriving at the company’s Reception area.  Handles confidential information.  Communicates verbally and in writing ensuring that all admin duties are completed accurately and delivered with high quality and in a timely manner.


Responsibilities

  • Administrative support to Island Oil Holdings Group.
  • First point of contact for all employees, clients, suppliers, and other business associates.
  • Maintains company’s visitor log.
  • Handles incoming central telephone calls and distributes them accordingly.
  • Responsible for forwarding/distributing any mail/documents/packages to the vessels preparing the relevant supporting documentation.
  • Handles filing systems as required.
  • Performs travel arrangements such as tickets, hotels, taxis as needed.
  • Develops and maintains an updated address book database.
  • Performs general secretarial duties including photocopying, filing, scanning and typing documents.
  • Responsible for ordering office supplies, groceries, cleaning supplies and other items needed.
  • Arranges and orders daily staff meals.
  • Performs other duties as assigned by position’s superiors
  • Implements company’s QMS and makes suggestions for improvements


Required qualifications/competencies

  • A degree or equivalent qualification from a tertiary institution recognized within a relevant field of Office or Business Administration or Secretarial Studies or related subject (minimum three years program).
  • At least three (3) years of working experience in a similar position will be considered as an advantage.
  • Ability to administer and work under pressure.
  • Possesses a strong sense of ethics and accountability.
  • Strong communicator with excellent analytical, verbal, and written skills in English and in Greek.
  • Good organizational and problem-solving skills.
  • Computer literacy.
